About the Role
We’re looking for a friendly, reliable and proactive Casual Office Admin Support person to join our team. You’ll work alongside our Office Manager (who is on-site Tuesday and Friday every week) to keep the DreamWalk office running smoothly and ensure the team has everything they need to do their best work. This is a hands-on role that’s all about keeping things organised, stocked, and ticking along behind the scenes — so the DreamWalk team can focus on building great apps.
What You’ll Be Doing
Office & Facilities

Maintain a clean and organised kitchen, storeroom, and breakout areas

Coordinate with the external cleaning service and monitor their schedule

Handle general office repairs and maintenance requests

Ensure supplies like toilet paper, paper towel, hand wash, and dishwashing products are stocked
-
Maintain the First Aid kit and assist with safety compliance (e.g. fire extinguisher servicing)
-
Keep shared storage spaces tidy and free of personal clutter
-
Organise spontaneous office events (e.g. staff farewells, themed celebrations)
-
Sell off unused or outdated office equipment
-
Prepare framed posters for new app launches and update the office “Wall of Fame”

Check and action the physical mailbox
Ordering & Inventory

Order weekly groceries for the office (snacks, milk, drinks, etc.)
-
Place monthly orders for kitchen and cleaning supplies
-
Manage the coffee subscription and adjust based on usage
-
Order and collect paper towel in bulk for the bathroom
-
Monitor pantry, fridge, and cleaning stock levels and reorder as needed
-
Restock fridge items and keep the kitchen stocked and functional
Staff Support & Culture

Support the management of onboarding and offboarding processes for staff, including access setup and retrieval
-
Support the management of birthday celebrations, including cake orders and setup
-
Coordinate Friday afternoon drinks for the team
-
Support the coordination of team events annually (including the Christmas party)

Support staff travel bookings when required
Finance & Administration
-
Check and manage the billing inbox, filing invoices appropriately (in Weel and in Google Drive for manual approval/payment by Dan)

Manage expense processing in Weel, including uploading invoices and categorising expenses

Perform monthly reconciliation of Weel transactions and follow up on missing invoices

Send invoice reminders to clients and follow up to confirm payment, escalating to Dan and Sam where required

Assist leadership with a variety of ad hoc administrative tasks to ensure smooth day-to-day operations
Tech & Device Management
-
Track and manage test devices (phones, tablets), ensuring they are returned and charged
-
Perform monthly operating system updates on all test devices
-
Set up laptops for new starters, including required software and accounts
-
Reset and wipe devices for offboarding staff
-
Enrol devices in the Kolide security system and monitor any issues flagged
-
Maintain internal device tracking spreadsheets and reports
-
Coordinate device repairs or replacements as needed

Some experience with or willingness to learn basic device management, security tools, and financial admin tools (e.g. Weel)
